How to Choose a Group Travel Insurance Plan for a Small Team

What to compare before choosing coverage for a small group.

A small group of five friends standing together outside a modern building.

Not every group traveling overseas is large. A faith-based team of five, a small nonprofit delegation, or a handful of coworkers on a short assignment can still benefit from group travel insurance — but with fewer travelers, it’s worth confirming a few specific things before choosing a plan. Here’s what actually matters when you’re comparing group travel insurance options for a small team.

Does Group Size Rule You In or Out?

Group travel insurance plans don’t all treat small teams the same way. Minimum group sizes, if any, vary by carrier and plan — some options set an enrollment threshold to qualify for group rates, while others may be available for smaller teams, and some may allow enrollment with as few as one traveler. Before comparing benefits or pricing, confirm whether a specific plan’s own minimum group size actually fits your team.

Some GNI short-term group travel insurance options may not set a minimum group size – they’re built to enroll anywhere from one traveler up through a much larger team — while other options on the group travel landing page may set a different threshold to access group pricing. Group size requirements, along with pricing and eligibility, can change, so confirm the current requirements for any short-term travel plan you’re considering.

What to Compare Once Group Size Checks Out

Once you know your team’s size fits, the details below are what typically separate one group travel insurance plan from another.

  1. Emergency medical evacuation limit. Many group travel insurance plans include emergency medical evacuation, although the benefit limit, eligibility requirements, authorization procedures, destination rules, and covered circumstances vary by plan — some short-term group travel plans may provide evacuation coverage up to $500,000, regardless of the medical expense tier selected, while other plans may structure the benefit differently.
  2. Medical expense benefit tiers. Many group travel insurance plans offer a choice of benefit levels — for example, $50,000, $100,000, or $250,000 per person — so confirm which tier realistically fits your team’s destination, planned activities, and the local cost of care.
  3. Deductible options. A per-person deductible choice, commonly ranging from $0 up to a few hundred dollars, is often available — generally, a lower deductible means a higher premium, though the exact trade-off depends on the plan and carrier.
  4. Optional benefits for higher-risk activities. Adventure or higher-risk activity coverage, chaperone or faculty-replacement benefits, and telehealth access may be included or available as optional add-ons, depending on the applicable group travel insurance plan — confirm which, if any, your team’s actual itinerary calls for before assuming they’re covered.

A Small Team Still Gets the Group Travel Enrollment Advantages

Even a small team can generally still enroll under one group travel insurance policy rather than each traveler applying separately, with one person often coordinating enrollment and serving as the primary administrative contact for the group. Individual travelers may still need to contact the carrier or emergency assistance provider directly when care is needed.

This may also offer administrative efficiencies and, in some cases, pricing advantages compared with arranging individual travel insurance for each person — although savings aren’t guaranteed and depend on the carrier, plan, group size, and destination. If you’re weighing a group plan against individual coverage for your team, connect with a GNI advisor to talk through how the two options compare for your specific trip.

How to Actually Decide

With group size, coverage limits, and cost all on the table, here’s a short checklist to work through before choosing a group travel insurance plan for your team:

  1. Confirm the plan’s minimum (and maximum) group size actually fits your team, along with any other enrollment requirements.
  2. Compare emergency medical evacuation and medical expense benefit limits side by side, not just the headline premium.
  3. Check which optional benefits — adventure activities, chaperone or faculty replacement, telehealth — actually match what your trip calls for.
  4. Ask about eligibility rules, exclusions, and any age, pre-existing-condition, activity, or other plan provisions that could affect a traveler’s coverage.

These questions are meant as a starting point, not a substitute for reviewing a specific group travel insurance plan’s certificate or talking through your trip with an advisor.

If you’re ready to compare options for your small team, request a quote, or browse GNI’s group travel insurance options to see what’s currently available. If you’d rather talk through which plan fits your group first, connect with a GNI advisor.

Benefits, exclusions, eligibility rules, coverage limits, waiting periods, coverage area, restricted or excluded countries, and pre-certification requirements can vary by carrier and plan—and may change over time. As we like to say, change is always in the air, so use the guidance above as a helpful starting point, not a guarantee of coverage. Good Neighbor Insurance advisors can help explain available options and general plan terms; however, the insurance carrier and its claims administrator make the final determinations regarding pre-certification, medical necessity, eligibility, benefits, and claims under the policy.

Insurance plan details and insurance company processes may change from time to time. Please connect with one of our GNI international insurance advisors for the most current information.
